ABOUT ACFE INDIA CHAPTER
The Association of Certified Fraud Examiners (ACFE) is the world's largest anti-fraud organization, dedicated to fighting fraud through education, training, and certification. OVERVIEW OF THE POSITION:
We are looking for a highly organized, self-motivated, and dynamic individual to join our team as “Executive Assistant and Social Media Coordinator”. This role will be responsible for overseeing the day-to-day operations of our office and serve as a point of contact for our ACFE members including handling member queries, managing accounts, coordinating meetings, organizing events, producing social media content, marketing, and outreach, and providing support to directors, newsletter editor, and website developer.
The ideal candidate will be polite, amicable, display professional demeanor, have excellent communication and multitasking skills, with a strong attention to detail and a passion for promoting integrity and ethical conduct. The role assumes that the candidate will be self-motivated with minimal supervision.
For selecting a candidate, we are not looking for the number of years or variety in work experience but if you can show us you are capable of handling tasks outlined in the next section.
RESPONSIBILITIES:
A. Administrative
a. Act as a point of contact for members and ACFE India Chapter: Answer queries via email or phone in a
prompt and professional manner.
b. Maintain and update Membership Register: update membership details, communicate with members and issue invoices for Member’s Annual Dues.
c. Receive of all mails and marking them for responses, and issue of outgoing mail including CFE Newsletter through email.
d. Tabulate all events, queries, calls, and provide details in weekly meetings to the Directors.
e. Assist our accounting firm with details for filing the financial statements. All banking operations of India Chapter ACFE including Online Banking.
f. Manage accounts payable and receivable, including invoicing, payments, and reconciliations.
g. Accounts preparation and settlement of Training and Faculty Fees for CFE Prep course Training and other workshop organized from time to time.
h. Carry out other duties as assigned by the Directors.
B. Event Planning:
a. Prepare for monthly training, workshops, and conferences. This includes selection of venue, getting quotes, designing banners, video conferencing facilitation.
b. Market the event by sending emails and flyers to members and other potential participants/organizations.
c. Preparation and collection of Survey post each event and presenting findings to Directors for improvement.
C. Social Media
a. Design and create outreach flyers, workshops, and conference materials.
b. Create and edit photographs, reels, videos to be used on social media and websites to engage with member and promote Chapter initiatives.
c. Create social media strategies and marketing calendar for each month.
d. Handle the Social Media pages with weekly postings of pictures, reels, sharing of articles.
e. Keep abreast of industry news and use that for our social media pages and workshop ideations and
contribute solutions.
f. Assist and provide information and details about ACFE India Chapter programs to the Newsletter Editor
and Website developer.
QUALIFICATIONS:
- Bachelors degree in Business Administration, finance, marketing, or a related field.
- At least 3 years of experience working in outreach, communication and marketing, or administrative roles.
- Desirable knowledge about different types of corporate frauds.
- Strong organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines.
- Excellent oral and written communication skills in English.
- Ability to handle calls and provide resolution in a timely fashion.
- Ability to take instructions from Directors and deliver weekly goals.
- Proficiency in Microsoft Office suite and experience with accounting software (e.g., QuickBooks)
- Proficiency in making Reels, promotional videos, and updating our social media pages on a weekly basis.
- Familiarity with social media platforms and content creation tools
- Commitment to upholding integrity and ethical conduct in all aspects of work.
- Self-motivated and able to build internal and external relationships to ensure seamless processes.
- Ability to manage multiple projects with competing deadlines.
- Ability to work in a multicultural environment.
- Excellent communication and written communication skills in English.
